Important: please be informed that hotel bookings through bnetwork online portal are exclusively for participants registered to ESGE Days 2026. We reserve the right to cancel your reservation/s in case registration for the event has not been done.

Payment Policy:

Deposit payment as per the following conditions:

Upon acknowledgement of booking, a deposit corresponding to 50% of the total cost of your reservation is requested to secure your hotel reservation.

By 5th February 2026, an additional 50% deposit is requested, for a total amounting to 100% of the total reserved stay.

Important: failure to pay the remaining 50% deposit by 5th February 2026, will result in cancellation of reservation and forfeiture of all deposits paid.

From 6th February 2026, any additional booking must be paid in the moment of making the reservation. Bookings without payment will not be confirmed.

Cancellation policy:

From confirmation until January 8th 2026, in case of cancellation of reservation or reduction of stay, no charges will be applied.

From January 9th 2026 until February 5th 2026, in case of cancellation or reduction of stay, 50% of the cancelled nights will be charged as administrative fees.

From February 6th 2026 until April 7th 2026, in case of cancellation or reduction of stay, 15% of the cancelled nights will be charged as administrative fees.

From April 8th 2026, in case of cancellation or reduction of stay, the participant will be charged 100% of the total stay reserved.

Penalties may apply as specified above. Telephone cancellations are not accepted as valid.

Reservation modification changes: All reservation(s) modifications can be made through the website "My account" section at https://esgehotels.bnetwork.com or in writing via email.

Changes will be confirmed by bnetwork within 24 hours and are subject to availability.

Personal information protection: bnetwork complies with applicable data protection laws and regulations regarding collection, use, transfer, disclosure, retention, security, and destruction of “personal information” (P.I.) and “personally identifiable information”). bnetwork will only use P.I. that is provided by the company or directly by an individual solely to the extent necessary to perform its obligations under this contract. bnetwork shall not employ the P.I. for bnetwork’s own purposes nor for the purposes of third parties. bnetwork shall not transfer data or P.I. to any third parties, except upon prior written approval of the company.

Hotel booking policy (from 6 bookings):

Payment policy:

By February 5th 2026, an additional 50% deposit is requested, for a total amounting to 100% of the total reserved allotment.

From February 6th 2026, any additional balances or bookings are requested to be paid upon confirmation.

We kindly inform you that the final invoice will be issued and provided by the hotel through bnetwork.

Cancellation policy:

From confirmation of your hotel allotment until 8th January 2026, in case of cancellation of reservation(s) or pre-booked allotment, you are committed to pay 10% of the deposit paid as administrative cancellation fees penalty. Partial cancellation is allowed without penalty.

Between 9th January 2026 and 5th February 2026, 50% per night, hotel and room category of the current allotment can be cancelled without penalty. Any cancelled room nights exceeding the permitted percentage, will be charged in full.

Between 6th February 2026 and 5th March 2026, 35% per night, hotel and room category of the current allotment can be cancelled without penalty. Any cancelled room nights exceeding the permitted percentage, will be charged in full.

Between 6th March 2026 and 7th April 2026, 15% per night, hotel and room category of the current allotment can be cancelled without penalty. Any cancelled room nights exceeding the permitted percentage, will be charged in full.

Between 8th April 2026 and 30th April 2026, 5% per night, hotel and room category of the current allotment can be cancelled without penalty. Any cancelled room nights exceeding the permitted percentage, will be charged in full.

From 1st May 2026, 100% of the allotment night by night is due in case of cancellation.
